Legal Secretary-Rochester & Buffalo Offices

Duties and Responsibilities:

  • Provide administrative assistance to legal staff in a law office.
  • Manage schedules, including trial dates and hearings.
  • Coordinate appointments, meetings, and business travel.
  • Schedule conference rooms.
  • Coordinate meetings, teleconference, and video conferences.
  • Coordinate with clients, external counsel and other vendors to obtain and exchange information and documentation related to legal matters.
  • Assess the urgency of situations and determine appropriate actions, monitor status of pending item, provide follow up and keep management informed by communicating a wide variety of information.
  • Prepare legal correspondence and presentations.
  • Maintain legal management systems.
  • Utilize case management system for electronic data management of legal files.
  • Ensure that all necessary information is shared between clients and attorneys on various files.
  • Oversee and coordinate acquisition and maintenance of legal research and reference materials for office, including hard copy and electronic materials.
  • Answering phones and filing.
  • Additional duties assigned as needed.

 

Requirements:

  • Associates Degree or High School Diploma with commensurate administrative work experience.
  • Type a minimum of 60 wpm.
  • Experience with transcription.
  • Attention to detail.
  • Exercise independent judgment and initiative.
  • Ability to organize and prioritize issues and workload
  • Excellent verbal and written communication skills.
  • Familiarity with real estate transactions preferred.
  • Proficient in Microsoft Office, and Document Management software experience preferred.

      

Physical Requirements

Although a mainly sedentary position, applicants must have the ability to carry files, bend and stand for extended periods of time.


Settlement Conference Clerk

The purpose of the Settlement Conference Department is to facilitate the loss mitigation process within the context of a foreclosure action. The primary objective is to assist with gathering documentation and communicating with the borrower or his/her counsel in order to assist with rendering a determination regarding whether there is home retention options available to a borrower in order to forego the foreclosure process.  The Settlement Conference Department is responsible for calendaring of conferences, gathering documents, preparing files for the appearing attorney, and scheduling appearing attorneys. Additional duties as assigned by the supervisor and team lead at any given time. 


Litigation Clerk

The Litigation Motions Clerk oversees that updates are sent to appearing counsel in a timely manner. The Clerk is also responsible for processing decided Motions for Summary Judgment. In addition the Clerk will be tasked with the drafting and processing of Notices of Withdrawal, Notices of Settlement, and Notices of Entry. Running Department of Defense and skip trace searches is a regular job duty. Daily correspondence with clients, attorneys and courts will take place via fax, e-mail, letter, and phone. Constant updating of the client and case management systems is required. The Litigation Motions Clerk is responsible for ensuring that our office is regularly following up on and obtaining all decisions that have been rendered from the courts. In addition the Clerk will handle all updates received from the New York Unified Court System including etrack, efile and general notification emails. The Clerk is responsible for identifying any court deadlines or future appearances, ensuring the case management system is properly updated and coverage is accurately secured and calendared. Additional duties as assigned by the supervisor and team lead at any given time.

 


Real Estate Development Assistant

Duties and Responsibilities:

  • Cultivate and maintain an efficient documentation and filing system for development/zoning files.
  • Assist attorneys with preparing and processing development applications, including but not limited to docketing (pre and post approval).
  • Utilize internet based resources to gather and synthesize property information.
  • Acquire information and copies from various municipalities and professionals (architects, engineers, etc.) to process and advance development applications.
  • Obtain copies of recorded documents from various governmental offices where applicable, obtain tax receipts for properties.
  • Open new files, request conflict of interest checks, and maintain (including indexing and organizing) client and general files.
  • Prepare correspondence and other legal documents from written or verbal instruction.
  • Draft various letters to clients based on the specific transaction/matter.
  • Log attorney's time for billing purposes and work with Accounting to generate bills.
  • Provide admin support such as transcribing dictation, maintaining calendars, setting up meetings, coordinate courier deliveries, sorting and distributing mail, and filing.
  • Assist with overflow projects/assignments such as filing, photocopying, scanning, or reception relief and perform other duties as needed upon request by immediate supervisor.

Title Clerk

The Title Clerk is responsible for drafting and submitting title claim packets for raised title issues that may hold up foreclosure process. Through resolving these matters we insure that the foreclosure proceedings can carry on without any hitches relating to title.  These errors can be several varying issues (prior mortgage, prior judgments, error in legal description).  They will raise the appropriate task track in BKFS system & Perfect Practice.  Title team will follow up on these submitted claims till an appropriate determination is reached.
